Text-based vs scanned PDFs

PDFs that already contain selectable text convert most accurately. If you can highlight and copy a number in your PDF viewer, the converter can usually read it cleanly. Scanned or photographed PDFs are pictures of text and rely on OCR, which is less reliable — columns can drift and digits can be misread, so always spot-check the totals afterwards.

Tips for cleaner results

• Clear, ruled tables with consistent column widths convert best. Merged cells, nested headers and multi-line rows may need a little tidying after export.
• Format columns holding GSTIN, PAN, invoice numbers or bank account numbers as Text so Excel does not strip leading zeros or switch long numbers to scientific notation.
• Check that amount columns are recognised as numbers. If a total refuses to add up, the column probably imported as text — use Excel's Value function or a paste-special multiply-by-1 to fix it.
• For statements with repeating page headers, delete the duplicated header rows once so your SUM and pivot ranges stay clean.

My amount column will not add up with SUM. Why?
